As the Clinic / Practice Manager (Office Manager), you will lead people and operations, elevate front-office service, build and coach a positive and accountable team, ensure EMR accuracy and privacy, coordinate scheduling and staffing, drive timely follow-up and retention, and develop community partnerships that create durable referrals.

Responsibilities:
As a pivotal member of our team, you will play a key role in the success of our clinic by leading our people and overseeing office operations. Your responsibilities will encompass the following:
• Lead people & culture:
Own scheduling for the NP, MA, and front office; run hiring, onboarding, and training; coach to clear standards; set a kind, accountable, patient-first tone.
• Deliver five-star patient experience: Greet by name; handle phones, check-in/out, scheduling, payments, and service recovery—make every visit easy and welcoming.
• Run daily clinic ops:
Execute Opening/Closing procedures and complete End-of-Day cash/receipts reports; keep the clinic patient-ready and the day running on time.
• Keep records & compliance tight. Ensure accurate EMR intake/consents/records; upload & track labs; uphold HIPAA/OSHA; participate in required refreshers/bootcamps/e-learning.
• Program knowledge & consults. Maintain strong Medi-Weightloss program/product knowledge; conduct consultations/Initial Assessments per corporate standards.
• Revenue cycle & benefits.
Handle Verification of Benefits (pre & post claim) with notes in EMR; support Billing/Coding (encounter mapping, claim approvals); manage the billing queue/denials; follow up on patient balances.
• Inventory & facility.
Perform weekly counts for office/clinical supplies and Medi-Weightloss products/Signature Supplements; reorder to pars; restock common areas; coordinate vendors.
• Insightful reporting (KPI dashboard).
Maintain a simple weekly KPI roll-up (speed-to-lead, show rate, receipts accuracy, claims queue aging, inventory variance) and flag improvements.
• Brand-approved social (no PHI).
Plan a simple weekly cadence that educates, celebrates progress, and spotlights partnerships—privacy-safe and on brand.
• Lead management (corporate scripts). Respond quickly to voicemails and web leads using approved phone/email templates; document follow-ups in EMR/CRM.
• Referrals & community partnerships. Build a repeatable engine with physician offices and gyms/fitness partners (lunch-and-learns, events, co-marketing); track touches → booked consults.
• Corporate liaison.
Stay current on corporate updates and playbooks; roll out changes with your team and report progress to ownership.
Requirements:
To thrive in this role, you should possess:
• Education: Bachelor’s degree in Healthcare Management, Business Administration, or related field preferred; equivalent relevant experience considered.
• Experience: 2+ years in outpatient/medical office operations leadership; clinical management strongly preferred; weight-loss clinic experience ideal; medically supervised weight-loss experience is a major plus.
• Leadership: : Proven ownership of scheduling (NP, MA, front office), hiring, onboarding/training, and coaching; track record building a positive, accountable culture.
• Compliance & records: Accurate EMR/EHR intake/consents/records; HIPAA/OSHA adherence; labs workflow (pickup, results follow-up, upload to EMR); completes required refreshers/bootcamps/e-learning.
• Communication:
Excellent verbal/written communication; service-recovery skill; builds relationships with physician offices and gyms/fitness partners.
• Tech: EMR/EHR proficiency; Office/Google Suite; basic CRM/lead tracking; brand-approved social tools (e.g., IG/FB/TikTok) used without PHI.
• Operations discipline: End-of-Day cash/receipts reconciliation; weekly inventory counts & pars; tight time and task management.
• Patient-first mindset:
Empathetic, outcomes-driven partner who reduces friction, protects dignity, and celebrates progress.
• Revenue cycle & benefits: Verification of Benefits (pre & post claim) with EMR notes; familiarity with billing/coding workflows; ability to work a billing queue/denials with RCM support; follow up on patient balances.
• Data & KPIs: Comfortable maintaining a simple weekly KPI dashboard (speed-to-lead, show rate, receipts accuracy, claims queue aging, inventory variance).
• Schedule flexibility: Able to work weekday mornings, some weekday afternoon/evening blocks, and Saturday mornings; occasional community events.
• Startup & growth mindset:
Comfortable in an early-stage, hands-on environment; roll-up-your-sleeves operator with an entrepreneurial approach and continuous-improvement mindset.
Salary: Base $65,000–$75,000, commensurate with experience. Details will be discussed during interviews.
Work Authorization & Onsite Requirement: This position is onsite in Drexel Hill, PA. Candidates must be currently authorized to work in the United States on a full-time basis. We are unable to sponsor or assume sponsorship of employment visas now or in the future.
